Guide: choosing, costs and rescue

A Salesforce implementation partner is a Salesforce-certified firm that takes care of setting up, configuring and driving adoption of the platform for you: from data model and automation to integrations, migration and training. Outbirds is the Dutch Salesforce implementation and headless partner for service-intensive and asset-intensive organisations (technical services, manufacturing and installation, utilities, public sector), based in Amersfoort and active since 2017. In this guide we explain how to choose a partner, what an implementation costs and how long it takes, which certifications matter, and what you can do when a running implementation has stalled.

Choosing an implementation partner

The right Salesforce partner for your organisation

What is a Salesforce implementation partner and what do they do?

An implementation partner translates your business processes into a working Salesforce setup. That typically covers: designing the data model (accounts, assets, work orders, contracts), configuring the clouds you use (for example Sales Cloud, Service Cloud, Field Service or Revenue Cloud), automation and flows, integrations with your ERP or other systems, data migration, security and permissions, and guiding users through go-live.

Partners differ strongly in specialisation. Some focus on marketing or e-commerce, others on a sector or on specific clouds. For service- and asset-intensive organisations that specialisation is decisive: a partner who works daily with installed base, work orders, maintenance contracts and field scheduling asks different questions than one who mainly configures Sales Cloud. On our page about Salesforce for asset- and service-intensive organisations you can read what that world looks like.

What should you look for when choosing a Salesforce partner?

A practical checklist for your shortlist:

  1. Sector experience and references. Ask for cases at organisations like yours, with names and results. A demo with your processes says more than a generic pitch.
  2. Certifications and partner status. Check the partner profile in Salesforce’s AppExchange consultant listing: it shows partner tier, certifications and reviews. Salesforce uses the tiers Base, Ridge, Crest and Summit.
  3. Who does the work. Ask who will actually be on your project (seniority, employed or contracted, Dutch-speaking where needed) and whether those people join the intake.
  4. Way of working and handover. A good partner works with a clear approach (discovery, build in sprints, testing, go-live, aftercare), documents what was built and makes sure your own admin organisation can take over.
  5. Future-readiness. Ask how the partner deals with developments such as Agentforce, Headless 360 and AI-assisted development. Whoever builds with those today knows what is coming on your roadmap. Read how we do this on our pages about headless Salesforce and agentic engineering.

Red flags: a quote without discovery, pressure to buy as many licences as possible, no answer to who does the work, custom development as the first reflex where standard functionality suffices, and no plan for adoption and management after go-live.

How much does a Salesforce implementation cost and how long does it take?

Implementation costs are separate from the licence fees you pay Salesforce. In the Dutch market, these are common orders of magnitude for the implementation side:

  • Compact implementation (one cloud, standard processes, limited migration): roughly 15,000 to 50,000 euros, lead time 6 to 12 weeks.
  • Mid-size implementation (multiple clouds or Field Service, ERP integration, data migration): roughly 50,000 to 150,000 euros, lead time 3 to 6 months.
  • Complex or enterprise implementation (multiple business units, multiple integrations, custom development, portals): from 150,000 euros, lead time 6 to 18 months.

These are indications, not quotes: the range is driven mainly by the number of processes, the quality of your data, the number of integrations and the amount of custom work.

Two cost drivers are often underestimated: data quality (cleaning and migrating almost always takes longer than planned) and adoption (training and aftercare determine whether the investment pays off). Also budget annually for management and further development, in-house or through a support and management contract.

Which Salesforce certifications should a partner have?

Look at the mix, matching your scope:

  • Foundation: Salesforce Certified Administrator and Platform App Builder.
  • Per cloud: Sales Cloud Consultant, Service Cloud Consultant, Field Service Consultant and, for quote-to-cash, the Revenue Cloud certifications.
  • Technical: Platform Developer I and II for custom development, and Application or System Architect for complex architectures.
  • AI: the Agentforce Specialist certification for partners configuring AI agents on the platform.

Certification counts say something, but less than you think: ten certificates spread across two departed employees are worth less than a small, stable team that knows your sector. So always ask for the certifications of the people who will be on your project.

Salesforce implementation failed or stalled: how does a rescue work?

A substantial share of CRM implementations does not reach its original goals. The symptoms are familiar: users work around the system in Excel, reports do not add up, every change takes weeks because of piled-up customisation, or the partner has left and nobody remembers why the system does what it does.

Stalled rarely means Salesforce is the wrong platform. Almost always the problem sits in the setup: a data model that does not match the processes, custom work where standard would have sufficed, missing governance or an adoption track that never happened. A re-implementation or rescue tackles that in a structured way:

  1. Org audit. A factual review of the existing org: data model, automation, customisation, technical debt, security and licence usage.
  2. Recovery plan. Per finding, the trade-off: repair within the existing org, or rebuild parts from scratch. A full greenfield re-implementation is sometimes needed, but targeted clean-up is more often faster and cheaper.
  3. Execution in sprints. First the blockers that hit users daily, then the structural build-up, with visible improvement per sprint to win back trust.
  4. Anchoring. Documentation, quality gates, test coverage and a management plan, so it does not stall again.

Outbirds runs these projects as part of implementation and optimisation. Our audits have accelerated considerably in recent years because we let AI coding agents such as Claude Code work on the org’s metadata: they map customisation, dependencies and technical debt faster and more completely than a manual review, while customer data simply stays in the org. How that works is on our page about agentic engineering.

Who are the best Salesforce partners in the Netherlands?

Honest answer: THE best partner does not exist; the best partner for your situation does. The Netherlands counts dozens of Salesforce partners, from broad international consultancies to specialists in one cloud or sector. Objective starting points for your shortlist are Salesforce’s AppExchange consultant listing (partner tier, certifications and customer reviews) and independent review platforms.

The relevant question is: who is the best partner for your type of organisation? For marketing-driven B2C organisations those are different firms than for organisations that run on assets, contracts and a field workforce. Outbirds deliberately focuses on that second group: service-intensive and asset-intensive organisations that use Salesforce as the core of their service business, from Field Service for asset-intensive organisations to headless architectures and AI agents on the platform. If that profile fits your organisation, we would love to talk; if it does not, we will say so and help you think about where you would be better served.

Frequently asked questions

What does a Salesforce implementation partner cost per hour?

Dutch hourly rates typically range roughly from 100 to 185 euros, depending on seniority and specialisation. More important than the hourly rate is the total: a senior consultant who gets it right in half the time is cheaper than a junior who takes longer and leaves rework behind.

Can I implement Salesforce without a partner?

For a small Sales Cloud setup with standard processes you can, certainly with an experienced in-house admin. As soon as Field Service, integrations, data migration or multiple departments come into play, a partner almost always pays for itself in avoided rework and faster adoption.

How long before we can work with Salesforce?

A compact implementation goes live in 6 to 12 weeks, mid-size projects in 3 to 6 months. A phased go-live (first one team or process, then expand) shortens time-to-first-value considerably.

Our implementation was done years ago and nobody knows the org anymore. Where do we start?

With an org audit: a factual review of setup, customisation and technical debt. After that you can make an informed choice between cleaning up or rebuilding. That is exactly the rescue track described above.

Does an implementation partner also work with AI tools such as Agentforce and Claude?

The front-runners do. Ask about it during selection: partners who already work with Agentforce, MCP and AI coding agents build faster and are prepared for Salesforce’s agent-driven roadmap. At Outbirds this is daily practice; see agentic engineering.
